Utility software helps maintain the system. Utility software includes:

Encryption is a method of scrambling data so that it cannot be understood by unauthorized individuals.
To unscramble the encrypted data, a key is needed.
Both encryption and decryption require the use of a key.
Data intercepted cannot be understood - prevents unauthorised people accessing information
Defragmentation software is a utility program designed to optimize the performance of a computer's hard drive by organizing the file system and improving the overall speed and efficiency of data access.
When a hard disk drive is new – files get added onto the disk in order – very much like starting with a blank piece of paper and adding to it
As files are deleted – this leaves gaps
When new files are saved – the files fill the gaps and become fragmented
Defragmentation software groups fragmented files back together
Files can be accessed faster because the data for that file is stored consecutively - so it does not need to move as far to read the next piece of data - as it is in the next memory location
Extended hard drive life - moving parts have to travel less physicial distance to access files when they are defragmented
Reducing the size of the file by performing an algorithm on the original data. This algorithm may reduce the number of pixels/reduce colour depth.
Lossless Compression
The original file can be re-created as no data is lost.
Lossy Compression
Some of the original data is lost permanently and the original file can not be re-created.
File takes up less storage space on the disk
Due to decreased file size the file can be transmitted quicker
Can allow file to be emailed which may have not been previously possible due to file size limits
